Welcome to RCM Automation. These Terms and Conditions govern your access to and use of our website, platform, AI agents, software, APIs, dashboards, and related services.

By accessing or using the Services, you agree to be bound by these Terms. If you do not agree, do not use the Services.

1. Eligibility and Acceptance

You represent that you are authorized to enter into these Terms on behalf of yourself or the healthcare organization you represent. Use of the Services is limited to individuals and entities legally permitted to do so under applicable laws.

2. Description of Services

RCM Automation provides AI-powered revenue cycle management tools designed to automate medical billing workflows, including but not limited to:

  • Eligibility verification
  • Prior authorization processing
  • Medical coding validation
  • Claim creation and submission
  • Denial analysis and appeals
  • Accounts receivable follow-ups
  • Payment posting and reconciliation

Our AI agents support administrative and billing operations and do not provide medical advice or clinical decision-making.

3. Use of AI and Automation

You acknowledge that:

  • Our Services use AI-driven automation to process billing and administrative data
  • AI outputs are intended to assist, not replace, human oversight
  • You remain responsible for reviewing, validating, and approving billing outcomes
  • RCM Automation is not responsible for payer policy changes, external system errors, or inaccurate source data

4. Healthcare Compliance

When processing Protected Health Information (PHI), RCM Automation acts as a service provider or Business Associate, as applicable. Use of the Services may require execution of a Business Associate Agreement (BAA).

You are responsible for ensuring your own compliance with HIPAA, payer contracts, and applicable healthcare regulations.

5. Data Ownership and Use

  • You retain ownership of your data, including PHI and billing records
  • You grant RCM Automation a limited right to process data solely to provide the Services
  • We may use de-identified and aggregated data to improve system performance and analytics
We do not sell PHI or customer data.

6. Third-Party Integrations

Our Services may integrate with:
  • EHR systems
  • Payer portals
  • Clearinghouses
  • Analytics or infrastructure providers
We are not responsible for third-party services, availability, or data practices.

7. Confidentiality

Both parties agree to protect confidential information and use it only for permitted purposes. Confidential information does not include publicly available or independently developed information.

8. Security

We implement administrative, technical, and physical safeguards to protect data. However, no system can guarantee absolute security. You acknowledge and accept this risk.

9. Suspension and Termination

We may suspend or terminate access if:
  • These Terms are violated
  • Use poses security or legal risk
  • Required fees are unpaid
  • Required agreements (such as a BAA) are not executed
Upon termination, access to the Services will cease.

10. Disclaimers

THE SERVICES ARE PROVIDED “AS IS” AND “AS AVAILABLE.”

WE DISCLAIM ALL WARRANTIES, EXPRESS OR IMPLIED, SUCH AS MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT.

We do not guarantee claim approval, reimbursement amounts, or payer behavior.
